Guidelines for working abroad

Responsibilities

Employees

Are responsible for:

  • Upholding the values and reputation of UiO while working abroad.
  • Maintaining regular communication with their department.
  • Ensuring their own safety and well-being and report any issues or concerns promptly.
  • Informing HR of any plans to perform work for UiO in any other country than regular country of work by filling in a travel tracker/planner and sending it to HR at local unit within set deadlines.
  • Obtaining approval from the Head of Department for performing work in another country than what follows the agreed place of work. A travel calendar must be kept.
  • Maintain valid documentation of social security membership, preferably in Norway.
  • Maintain valid work permits in the country of work.
  • Maintain a Norwegian tax deduction card or tax exemption card.
  • UiO cannot be held accountable for issues arising because of the employee failing to comply with their responsibilities.

Head of Department

Is responsible for:

  • Reviewing and approving applications for work abroad.
  • Ensure that the work conducted from abroad aligns with the objectives of UiO.
  • If applicable: Cover mandatory employers’ contributions to foreign social security schemes, pension schemes and insurances.
  • Review employee’s compliance with visas, work permits, and insurance.
  • Collect the travel calendar and forward this to the payroll department in accordance with the applicable guidelines.

ISA 

  • Budget for increased compliance costs for long-term work abroad.
  • Provide guidance and support for employees working abroad.

Consequences of incompliance


Failure to comply with this policy may constitute a breach of your duty and employment obligations.
